Can the EDC (Expected Delivery Date)/LMP Date be updated during the participant's certification period? (03/12)

Yes. The EDC/LMP is often not known for sure at the time of the certification. CPAs should verify the participant's Expected Delivery Date at a subsequent Nutrition Education contact to ensure the Certification End Date is calculated correctly by the system.

There are a couple of caveats when changing the EDC:

  • The EDC cannot be changed to a date in the past; only to the current date or a future date

Example: If the EDC was 3/1/12 and was changed to 3/21/12, it cannot be changed in HuBERT because today's date is 3/28/12 and 3/21/12 is in the past.

  • There are a few Risk Factors (weight gain, etc.) that are calculated based on the LMP. If the EDC/LMP are changed, the system will recalculate for certain Risk Factors and it may create a pseudo-cert.

Note: Remember, when you change the date in the Expected Delivery field, you must hit either the Enter key or tab to the next field to ensure the system recalculates the LMP.

Why can't we add more than one nutrition education contact per day? (08/11)

HuBERT only allows one Nutrition Education contact of the same type per day because it has a validation rule in which the Contact Date must be greater than the participant's previous nutrition education contact.

If a contact is entered via the Certification Guided Script (CGS), a new Nutrition Education contact of the same type (i.e. Individual Primary Contact) cannot be added in the Participant Folder. However, it can be edited.

If you forget to include a topic when the contact is first created, you can select the Nutrition Education contact in the tree in the Nutrition Education Contacts/Peer Counselor Referrals/Materials Given for Household Member section of the screen, which will enable the Edit Contact, Material or Referral button.

I have been encouraging staff to prescreen the new baby, close that record and then begin the postpartum cert for mom. When they link mom and baby, this really long list of babies comes up. I thought they would only see babies with the same birth date in their own agency. Who are all those babies? (03/11)

The Linked Participant window displays a statewide, alphabetical listing of all infants with a Date of Birth 5 days before and 5 days after that Date of Birth.

Will we still be able to use our nutrition/health info forms instead of asking each specific question during a cert/recert? (01/11)

This is no need for any paper forms with HuBERT. All of the information is collected in the system. The VENA Tab can be thought of an the "electronic version" of the CHIP nutrition questionnaire forms.

What if you are only seeing either mom or baby for an appointment - do you have to link the records to be able to issue benefits? (01/11)

You do not have to link records in order to print benefits. However, if both mom and baby are going to be on WIC and in the same household, the records should be linked.

What is the difference between a one-way and two-way link in Health Information? (01/11)

One-way link: Created when mom's record is linked to the infants via the infant's Health Information. CPAs are still required to link from mom's record for infant's information to auto-populate into mom's record.

Two-way link: Created when infant's record is linked to mom's via the Infant(s) Born from This Pregnancy screen in Health Information. Information will automatically populate into the infant's Health Information record.

Can Local Agency topics be added to the Nutrition Ed tab? (01/11)

No. In HuBERT, Nutrition Education topics are statewide and are the same for all agencies.
