How long are reports maintained on the FTP site? (10/11)
The reports on the FTP site will continue to be available for a minimum of 6 years. Please refer to the HuBERT Reports Guidance for more information about the FTP site.
How can we get our participant counts? (07/11)
End-of-Month (EOM), which used to be called the "Reconcilliation Run" or "Rec Run" in CHIP, is typically scheduled for the 15th of each month. However, if the 15th falls on a weekend, EOM is performed after the weekend. The State will inform Local Agencies when EOM has been run in the HuBERT Hints.
Once EOM has been run successfully, you can view participation information by using either the Year-to-Date Participation and Outlays or the Reported Participation Monthly (by Priority) reports. Both of these reports are available in the Reporting Environment's State Office module.
For a daily participation count, agencies can use the Year-to-Date Participation and Outlays report.
How can we determine the number of participants without food packages? (07/11)
Participants without food packages include:
- Some-breastfeeding women > 6 months postpartum
- Fully breastfeeding infants < 6 months old
These participants are automatically added to your monthly participation count during the End-of-Month (EOM) process.
To determine an approximate number of these participants, you can run the Year-to-Date Participation and Outlays report in the State Office module the night before the EOM process is run. You can then run the same report after the EOM process has been run and subtract the difference between the two counts.
Can you create ad hoc queries by appointment type? (01/09)
Yes, ad hoc queries can be run by appointment type by using the appointment type ID. Other fields that can be used to run ad hoc queries related to appointment scheduling are:
- Appointment Date
- Appointment ID
- Appointment Resource ID
- Appointment Time
- Comments
- Create User ID
- Duration
- Household ID
- Resource Column
- State WIC ID
Can you print a list of participants scheduled for group classes? (01/09)
There are 2 different reports that can be run related to group education classes:
- Class Attendance Report - A report listing scheduled classes
- Group Class Roster - A report listing participants enrolled in a group education class
Is there a participant profile page similar to the one in CHIP? (01/09)
Yes, HuBERT does have a page similar to CHIP's Participant Profile, called a "Participant Summary". It can be accessed from within the Participant's Folder.
