Frequently Asked Questions: Vaccine Ordering and Management Using MIIC

Over the next several years, there will be several changes made to enhance management of vaccine from the Minnesota Department of Health. The changes are necessary to meet current and future federal requirements for the MnVFC program. The first step is a transition from the current online ordering system to ordering vaccine using the Minnesota Immunization Information Connection (MIIC). Updated 2/13

Are we required to place orders using MIIC? What if we don’t have computer access?

As of March 2013, providers who want to order vaccine online will need to order using MIIC. MDH also continues to accept faxed orders.

Can we place vaccine orders using MIIC without otherwise participating in the registry?

Yes. However, providers are encouraged to submit immunization data to MIIC.

How do we get set up to order vaccine through MIIC?

If your organization hasn’t been set up to order vaccine through MIIC, please view the instructions on this page. If your organization has already been set up and you need to add new users to be able to order vaccine using MIIC, contact your MIIC Regional Coordinator.

Can we order vaccine for multiple satellite facilities using MIIC?

Yes. This can be done using a single sign-on to the MIIC application. Contact your MIIC Regional Coordinator with questions.

We manage our vaccine inventory using MIIC. Will vaccine ordered using MIIC get added to our inventory?

No, not at this time, although MDH is working on enhancements to automate this process.

Is there an advantage to ordering vaccine using MIIC or is it just another option?

Due to increasing federal requirements, we will be working to make MIIC a “one stop shop” for ordering and managing MDH vaccine over the next few years. Ultimately the ordering tool in MIIC will be integrated with vaccine inventory which should allow users to manage inventory more efficiently. The ordering tool in MIIC will also offer several advanced features such as email notifications, the ability to view pending or past orders, and eventually the ability to track vaccine shipment information.

Currently, ordering in MIIC allows organizations with multiple facilities to order using only one sign-in. This cuts out the extra step of having to log in and out of the application to create an order for each facility.

What other changes related to ordering and vaccine management in MIIC are planned?

Implementing vaccine ordering using MIIC is a first step in many changes necessary to enhance management of vaccine from MDH. Additional changes to be implemented over the next several years include:

  • Ability to submit dose-level eligibility information to MIIC, through direct data entry and electronic data transfer;
  • Enhancements to MnVFC reporting using MIIC; and
  • Inventory management enhancements, including: integration with ordering data and electronic management capabilities.

How do I get involved or learn more?

MDH is convening a workgroup of providers with an interest in these vaccine ordering and management changes. Contact Julia Ashley at julia.ashley@state.mn.us to participate in the workgroup or if you have any questions.

Who is my MIIC Regional Coordinator and how can I contact them?

Your Regional Coordinator’s contact information can be found on the MIIC Regions and Regional Coordinators page.
